Overview

An Administrative Coordinator will thrive in a fast-paced sales culture. To be successful in this role an Administrative Coordinator must be highly motivated, have a strong work ethic and exceptional communication skills.  

Responsibilities

  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
  • Enter visitor’s / candidate’s names into security log and creating welcome signage
  • Assembling candidate interview packets for new Associate interviews
  • Complete and file I9s ensuring compliance with USCIS regulations
  • Conduct employment verifications
  • Manages building services and office suppliers, including ordering keys and key cards for new internal employees
  • Act as liaison between the Directors and the Marketing team to ensure  appropriate  inventory levels of marketing materials
  • Catering for events, new hire orientations, and business meetings
  • Document Management – AR Interview Calendar
  • Prepare and submit expense Reports – for Directors
  • Order business cards for all Advanced Group businesses (Chicago Office Assistant Only)
  • Order office supplies
  • Manage CareerClip videos for candidates including transferring and uploading
  • Responsible for maintenance and cleanliness of the reception area, kitchen, office & conference spaces
  • Lead contact for building services and office service vendors
  • Responsible for maintaining the postage meter and mail distribution, including fed ex services
  • Other administrative duties as assigned by Management

Qualifications

  • Bachelor’s degree preferred
  • Minimum of six months business experience
  • Must have excellent problem solving and organizational skills  
  • Ability to define problems, collect data, establish facts, and draw valid conclusions
